Understanding Our EHR Transition

Eventus is transitioning to an upgraded electronic health record system powered by athenahealth on February 16, 2027, designed to enhance your overall care experience and provide our clinicians with seamless access to your health information. Throughout this transition, patient care remains our highest priority, and we are working closely with your care facilities to ensure everything runs smoothly.

As part of this update, we are also introducing athena’s Patient Information Center (PIC) to improve how you manage your health journey. In the week leading up to our launch, you and your designated family representatives will receive simple registration instructions for the new portal, where you can easily view your health records, securely message Eventus clinicians, and manage family access.

We understand you may have questions, and we’re here to address those below.

About the Transition

Eventus is changing EHRs from our current system of ChartPath to athenahealth. As we continue to grow, we identified the need to invest in our technology infrastructure that more seamlessly supports our patients, our providers, and our facility partners. This transition will enable our clinicians to have more patient information at their fingertips, provide additional tools to carry out the Eventus clinical model, and decrease administrative burden for our facilities.

Our athena go-live date is 02/16/2027.

As of the go-live date, all clinicians will transition from documenting care within ChartPath to athena. Only remaining open notes within ChartPath from visits prior to go-live will still be transmitted via ChartPath. ChartPath will transition to read only 48 hours following go-live.

Our clinicians and support staff will follow a three-phase approach to training on the new system. During this transition, patient care will remain our priority. During the first few weeks, as clinicians and staff get up-to-speed on the new system, we anticipate they may conduct fewer routine visits, and notes may take longer to close. We expect to get back to full productivity within 3–4 weeks of go-live.

Please direct any questions to either your Eventus Business Development team member or Area Director of Clinical Operations & Engagement (ADCOE).

What This Means for
Your Community

Yes, as of today, those facilities on PointClickCare (PCC) and Matrix will be able to integrate with athena. We are continuing to evaluate additional facility EHRs that we can integrate with.

Clinical Information
& Progress Notes

The progress note will contain the patient demographic information, encounter notes (encounter reason, history of present illness, review of systems, vitals, results/interpretations, physical exam, assessment and plan, any follow-up appointments), and patient medical history (allergies list, family history, past medical history, vaccine history).

All triage notes will be inputted as an encounter within athena and sent to facilities via a progress note. Facilities will follow the current process today of utilizing PerfectServe to contact Eventus for triage.

Patient Portal

Yes, we will be transitioning to athena’s Patient Information Center (PIC). Through the PIC, patients and their designated representatives will be able to view health records, message Eventus clinicians, manage their portal, and grant family access.

The week leading up to our go-live date, instructions for PIC registration will be sent to patients and any family portal users. We are doing this to minimize confusion between the two portals. We can also integrate portal enrollment into the first visit post-athena transition.

PointClickCare Integration

Yes, similar to today there will be a bi-directional integration between PCC and athena. Patient demographics and clinical information from PCC will be synced into athena and progress notes will be sent back into PCC from athena.

Our integration application will be a part of the PCC Marketplace, enabling easy integration. As we get closer to our go-live date, facilities on PCC will receive detailed instructions on how to activate the integration. We recommend this be completed by the IT team at your organization, but it is a simple and quick process of just a few clicks.

The application will be called Eventus PointClickCare Connector. Specific instructions on when the application is ready to connect will be sent.

Once you submit the integration request, our integration partner (CYBX) and PCC will review and approve the request. Once approved, CYBX will reach out to the facility to begin the integration. The estimated total time from start to finish is ~10 business days.

Yes, we encourage facilities to keep the ChartPath integration live until the athena go-live date. Facilities are able to have both the ChartPath and athena integration at the same time leading up to go live. This will ensure facilities have full coverage for integration.

Once a provider signs his or her note, notes are transferred from Athena to PCC twice daily.

While we do not anticipate this happening, in the event it does happen, notes will be faxed or emailed to facilities until the integration is up and running again.

No, facilities are not required to integrate with athena. This is an option available to facilities to better support our facilities’ workflows. If a facility chooses not to integrate, we will email or fax notes.

No, there is no cost for facilities for this integration.

Notes are delivered as a Practitioner Note (Prog Note tab) or a PDF (Misc. tab). The default note type is a ‘Physician Note.’

If a facility is integrated into athena, there will be no need to upload notes into PCC patient charts.

MatrixCare Integration

Yes, we are partnering with an integration partner, CYBX, to integrate athena with MatrixCare. This integration will enable MatrixCare to not only receive progress notes but also sync MatrixCare patient demographic data with athena.

The first step is to complete the authorization form, sent to facility authorized signers on 8/27. Once completed, this integration can be set up for the facility.

Once you submit the integration request, our integration partner (CYBX) and MatrixCare will review and approve the request. Once approved, CYBX will reach out to the facility to begin the integration. The estimated total time from start to finish is ~10 business days.

Notes are delivered as Resident Documents or Progress Notes. Please keep in mind that notes are only delivered when a patient is active in MatrixCare at the time the athena appointment took place.

If a facility is integrated to athena, there will be no need to upload notes into MatrixCare patient charts.

Other EHR Systems

You will continue to receive notes via the method your facility receives today, either via fax or email.

Facilities without secure email can still receive progress notes via email as they will be secured on our end.
